Compare the full itinerary cost, including the stated treatment of travel days, expenses and evenings.
A three-day interpreter booking should come with a three-day cost breakdown. If a quotation gives only a daily fee, you still need to establish whether preparation, travel, fair access, overtime and expenses are included. This matters particularly when the interpreter is travelling from another city.
TalkEast is based in Xiamen. Its published prices provide a useful planning reference, but a Guangzhou booking needs its own written quote. The figures below describe TalkEast's published terms when this guide was prepared; the quote issued for your dates determines the booking price.
The published rates and their limits
| Item | Published reference | Scope |
|---|---|---|
| Multi-day trade fair | CNY 1,400 per day | At least three days; up to eight hours per day |
| Full day in Xiamen | CNY 1,600 | Up to eight hours, including a short briefing |
| Half day in Xiamen | CNY 900 | Up to four hours |
| Extra hour | CNY 220 | Beyond the agreed included hours |
| Dinner | CNY 600 | Up to three hours |
| Outside-Xiamen travel supplement | CNY 400 per day | Travel day or more than one hour each way; confirm application |
Transport, tickets, meals and hotel are additional expenses charged at cost. Written translation is quoted separately. Read the published price section, then request an itemised quotation for Canton Fair. The Xiamen half-day and full-day rates should not be presented as an all-inclusive Guangzhou package.
A three-day planning example
Assume three qualifying fair days at CNY 1,400: the interpreting fee is CNY 4,200. Suppose the written quote confirms that a CNY 400 supplement applies on each of those three days: that adds CNY 1,200. One agreed extra hour on each of two days would add CNY 440. The subtotal for those specified items is CNY 5,840.
This is an illustration, not a booking offer. It excludes rail or air tickets, local transport, accommodation, meals and any additional travel-day charges. It also assumes no separate dinner booking or written translation. Ask the provider to show how supplements and travel days apply to your schedule instead of copying this example into a purchase order.
If a dinner follows a full fair day, clarify whether it is booked as a dinner assignment or treated under another agreed arrangement. That avoids counting the same period twice or assuming an evening is included in the daytime fee.
What changes the budget most
The main variables are often the itinerary rather than the rate. A meeting late in the evening may require another hotel night. A factory visit far from the fair may add substantial travel time. A spare day between appointments may affect availability and travel arrangements even when no interpreting is planned.
Preparation also deserves a specific line. A short briefing is different from reviewing a long technical specification, translating drawings or researching manufacturers. Describe the material before requesting a price so the provider can identify work that needs a separate quotation.
Compare quotations on the same schedule
Give each provider the same hours, locations and expected tasks. Request a total for the agreed core itinerary and a separate schedule of optional charges. Check whether an eight-hour day includes travel from the hotel, scheduled breaks and the final debrief. The answer should be stated rather than assumed.
- Which expenses are estimated and which are fixed?
- Do expenses need prior approval above an agreed amount?
- What happens if an appointment runs over or moves to another day?
- Are booking payments, cancellation terms and invoice details clear?
Spend on useful meeting time
A shorter, focused booking can be sensible if you have a small number of technical meetings and can handle general browsing yourself. A multi-day assignment can suit a broader supplier search. Choose the scope by the decisions that need language support, then check the commercial terms attached to that scope.
