Build an agenda that includes briefing, travel treatment, discussion and recap before choosing four or eight booked hours.
A meeting scheduled for two hours sounds like a comfortable half-day booking. Add an introductory briefing, a delayed start, a factory walk and a discussion over revised samples, and the margin can disappear quickly.
The right choice depends on the work you want to complete and how much of the day you can control. Use the agenda to choose the booking, then confirm precisely which time counts toward the allowance.
Know the booking limits
TalkEast's published Xiamen rates are CNY 900 for up to four hours and CNY 1,600 for up to eight hours. A full day includes a short briefing. Additional hours are published at CNY 220, subject to the agreed booking arrangements. Confirm current prices in your written quote.
These allowances describe booked time, not a guarantee of four or eight hours sitting in a meeting room. Ask how travel, waiting and breaks are treated, where the assignment starts and what happens if the supplier runs late. Outside-Xiamen work and expenses may add charges.
A business dinner also needs its own discussion. TalkEast publishes a separate dinner option of up to three hours at CNY 600; establish how it fits with a daytime assignment before extending the day.
When a half day fits
A half day can work well for one defined appointment with a confirmed location, the necessary decision-makers present and a short list of questions. The strongest candidate is a meeting whose boundaries you can explain: review one sample, clarify a quotation or hold an introductory discussion.
It also helps when the documents are ready and both sides understand the purpose. If you must spend the first hour establishing which product version you are discussing, the nominal meeting length tells you little.
- There is one main objective and a clear stopping point.
- The supplier has confirmed who will attend.
- The factory walk, if needed, has an agreed scope.
- The travel arrangement fits the confirmed booking window.
- You have reserved time to recap the outcome before leaving.
When a full day is more practical
Consider a full day when you have several substantive topics, more than one site or a detailed technical discussion. A full day can also be sensible when the sequence is uncertain: the production manager may only be available after the tour, or the sample review may determine which further questions you need to ask.
Extra time has value only if the relevant people and evidence are available. Booking eight hours will not solve the absence of a current sample or a decision-maker. Confirm those prerequisites first.
If the itinerary already exceeds a realistic day, reduce the scope or split the appointments. A longer booking should not become a reason to compress several important visits into an exhausting schedule.
Build a time plan before comparing prices
Here is an illustrative three-and-a-half-hour assignment at one agreed location. It assumes any travel arrangements have already been settled separately in the quote.
| Part of the assignment | Time reserved |
|---|---|
| Buyer and interpreter briefing | 15 minutes |
| Introductions and agenda | 15 minutes |
| Sample review and questions | 75 minutes |
| Focused factory walk | 45 minutes |
| Decisions and action recap | 30 minutes |
| Contingency | 30 minutes |
This totals 210 minutes. It could fit a four-hour allowance if the provider confirms the scope. Add a second substantial sample discussion or a separate address and the basis for a half-day booking changes. Revise the itinerary before relying on overtime.
Agree how changes will work
Ask whether the interpreter can extend the assignment that day, how additional time is approved and who will make the decision. Do not assume availability after the booked finish. If your supplier suggests a dinner or an extra visit, check the arrangement before accepting.
Choose a point near the end of the booked period to review remaining questions. Finish the highest-priority topic, record what is unresolved and schedule follow-up where needed. That protects the useful outcome of the meeting even when the agenda changes.
