Before you begin

Plan the complete journey to each Putian site and protect enough meeting time to reach a specific, recorded outcome.

You are staying in Xiamen and a supplier has invited you to Putian. Before choosing transport, find out exactly where the meeting will take place and what you need to accomplish. The relevant itinerary runs from your starting point to the factory entrance, with time for the discussion and the journey afterward.

Build that complete day first. It gives you a sound basis for deciding whether to return to Xiamen, stay closer to the next appointment or divide the work across two days.

Get the actual address and meeting location

Ask the supplier for the full address, a map location, the entrance or pickup point and a reachable contact. Confirm whether you are visiting an office, a showroom or the production site. If more than one location is involved, obtain all addresses before making travel arrangements.

Tell the supplier what you expect to see. If the purpose is to discuss a particular manufacturing step, ask whether the responsible person and relevant area will be available. A meeting at a convenient office may be useful, but it will not answer a question that requires access to another site.

Ask your supplier to confirm the exact arrival station name in Chinese and which stop best serves its address. Share that name with whoever books your ticket and arranges collection. A city name in a message is not a sufficient pickup instruction.

Choose the purpose of the day

Separate an introductory visit from a working sample review. For introductions, you may want to understand the supplier's role and proposed process. For a sample review, you need the current specification, the sample history and the people who can explain proposed changes.

Send a short agenda in advance and ask the supplier to confirm who will attend. If a decision-maker is available only during a narrow window, organise the meeting around that constraint instead of leaving the commercial discussion until the end.

  • Identify the three questions that must be answered during the visit.
  • List the evidence or samples the supplier should prepare.
  • Confirm the document revision everyone will use.
  • State which decisions you can make on site and which remain subject to review.

Plan all four parts of the journey

For a rail-based visit, map the complete chain: hotel to the confirmed departure station, train to the confirmed arrival station, pickup to the factory, then the return journey. Check current services before booking. Include station arrival arrangements, the onward transfer and an appointment buffer when agreeing the meeting time.

Confirm the driver or pickup contact, telephone number, meeting point and factory address in writing. Establish who will monitor a delayed arrival and who will contact the supplier. Send the same details to your interpreter so a changed station or collection point does not create two different plans.

For a road-based visit, agree hotel pickup, the full factory destination, driver waiting arrangements and the return plan. If you have two sites, give the driver both addresses before departure. Compare the entire itinerary using the Xiamen, Putian and Quanzhou travel planning guide, rather than choosing on the intercity journey alone.

Agree interpreting and expenses before booking

Send your interpreter the complete day: where you start, where the assignment begins, each site, expected meeting hours and the return plan. Confirm how travel and waiting fit within the booked time.

TalkEast's published prices include a CNY 400 daily surcharge for an outside-Xiamen travel day or travel exceeding one hour each way. Transport, tickets, meals and hotel costs are extra at cost. Your written quote should confirm the applicable charges and current terms for your itinerary.

Ask separately about substantial document preparation or written translation. If you require a technical inspection or supplier assessment, commission that work explicitly rather than assuming it is part of an accompanied visit.

Example: one supplier, one clear outcome

Suppose your objective is to resolve three changes to a packaging sample. A workable agenda might begin with a short private briefing, followed by a supplier discussion using the current drawing. You then visit the relevant production area, return to the meeting room and review the proposed changes one by one.

Before leaving, record which changes are accepted for the next sample, what remains open and who will provide the revised quotation. Keep a private debrief in the plan so you can prepare the written recap before details blur together.

Before confirming the return booking, protect enough time for the factory-to-station transfer and the required departure arrangements. If the supplier cannot prepare the sample or arrange the necessary staff, reassess the visit before committing to the journey.
