Ask every shortlisted supplier to requote one current specification at the same quantity and delivery basis.
Three quotes can look comparable until you open the packaging column. One includes a printed box, one includes a plain sleeve and the third says nothing. The unit prices are real numbers, but the comparison is incomplete.
After the Canton Fair, the priority is to recover the assumptions behind each offer while suppliers still recognise the discussion. Link the quotation to the stand notes, sample reference and photograph. Then ask every shortlisted company to confirm the same product and commercial basis in writing.
Choose a comparison specification
Use the most recent version of your product sheet. If you changed a material or quantity during the fair, identify which suppliers received the change. Mark older quotations as needing revision instead of silently treating them as current.
Record the exact dimensions, construction, material, finish, colour, branding and packing. Include intended use and any documented performance requirements. Where you are still choosing between alternatives, compare each alternative separately. Mixing a premium construction from one supplier with a basic construction from another hides the decision you actually need to make.
Build a comparison sheet around missing information
Use one row per supplier and a separate field for each important assumption. The sheet should make unanswered questions visible. Do not insert your preferred interpretation into an empty cell; write “not confirmed” and request an answer.
| Item | Supplier A | Supplier B |
|---|---|---|
| Unit price | USD 4.80 | USD 4.55 |
| Order quantity | 1,000 units | 2,000 units |
| Retail packing | Printed box included | Not confirmed |
| Setup charge | USD 150 | Not confirmed |
| Product revision | Revision B | Stand sample only |
Supplier B is not yet the cheaper option. It has quoted a different quantity and an incompletely defined product. Request 1,000 units against revision B, specify the same packing and ask for every one-time charge. Only then does a price ranking become meaningful.
Align the commercial basis
Check currency, price validity and the stated delivery basis, including the named place where relevant. If you use an Incoterms rule, make sure both parties state the same rule, location and version; ask your freight specialist to explain any unfamiliar allocation of costs. Do not compare a factory collection price with a delivered price as though they cover the same work.
Keep one-time charges separate from the repeat unit price. Tooling, artwork setup and testing may affect the first order differently from later orders. Ask whether these charges are refundable, credited against a production order or payable again if the design changes. Record only the terms actually confirmed.
Compare readiness as well as price
A complete quote makes the next step easier to evaluate. Assess whether the supplier has addressed the specification, identified exceptions and explained the sample route. A fast answer that ignores half the brief creates work later. A careful answer may still reveal that the company is a poor fit; both findings are useful.
Separate product feasibility, commercial terms and supplier verification in your notes. A well-written quotation does not establish manufacturing capability or product conformity. Plan the evidence needed for those decisions independently, such as samples, a suitable site visit or appropriate specialist checks.
Send a targeted clarification request
Example: Thank you for meeting us at the fair. Please revise your quotation for product TE-01, revision B, at 1,000 units total in the two colours shown. Include the specified printed box, state all setup charges and confirm the quotation's validity. Please list any part of the specification you cannot meet and explain the proposed alternative.
Set a reasonable response date and keep the question list short enough to answer clearly. Keep the original offer alongside the revision so changes remain traceable. If a technical issue needs a call, arrange it with the relevant colleague rather than continuing an ambiguous message exchange.
For help clarifying unresolved supplier answers, include your original brief, quotations and fair notes in a TalkEast enquiry. A focused follow-up starts with the documents behind the prices.
