Arrange a factory visit only after confirming the site, host and specific questions the visit should resolve.
A friendly invitation at a trade fair is the start of arranging a factory visit. It is not yet an appointment, a confirmed address or evidence that the relevant production will be running. Before adding travel days, establish what you would see and why it would help your buying decision.
The best candidates for a visit are usually suppliers that have already answered the basic product and commercial questions. If the proposed material, order quantity or product capability is clearly unsuitable, a journey is unlikely to fix the mismatch.
Choose candidates using the same criteria
Review your fair notes and rank each supplier against the essentials in your brief. Look for a plausible product fit, a workable order scale and a contact who can arrange the right discussion. Record unresolved issues separately from reasons to reject the supplier.
A visit can help you understand a process, discuss a sample or meet the team that would handle your project. It cannot guarantee future performance. If you need a formal audit, technical inspection or compliance assessment, define that requirement and engage an appropriately qualified specialist rather than treating a general visit as equivalent.
Confirm the actual site
Ask for the full factory address in Chinese and English, a map location, the site name and the name of your host. Establish whether the address belongs to an office, showroom, production facility or subcontractor. If multiple sites are involved, identify which processes take place at the proposed location.
Ask what production is expected during the visit and whether your product category will be represented. A supplier can have a legitimate reason for showing a different line, but you should know before travelling. Check any restrictions on photography, sample handling and access so the agenda reflects what is possible.
Send an appointment request with a purpose
Example: Thank you for the discussion at the fair about our storage-box project. We would like to visit the production site on Tuesday morning to review the proposed material, discuss the sample plan and understand the assembly and packing stages.
Please confirm the site address, the person who will host us and whether a colleague responsible for production and sampling can join. We expect the meeting to take approximately two hours. Please also let us know which processes will be operating and whether photographs of agreed areas are permitted.
A reply saying “welcome anytime” still needs a date, time and named host. Confirm those details before booking transport. Share your attendee names and interpreter details so the supplier knows who to expect.
Build an agenda around unresolved questions
Start with a brief recap of the product specification, then discuss the issues that justified the visit. For a new material option, examine the relevant sample and ask what would change in production. For a packaging concern, review the proposed packing method and identify what further evidence you require.
- Review the current product brief and any exceptions proposed by the supplier.
- Discuss the process stages relevant to the product and who is responsible for them.
- Examine available samples with clear identifiers and agreed handling rules.
- Confirm the sample development plan, information needed and expected milestones.
- Summarise open points, named owners and the next written response.
Allow time for the meeting itself, walking through permitted areas and a final review. Avoid filling the entire slot with a tour while leaving the actual project discussion to the car park.
Plan travel only after appointments hold together
Obtain realistic journey estimates for the actual addresses. An exhibitor attending a fair in Guangzhou may manufacture in another province. A company name containing a familiar city does not establish where you need to go.
If you are visiting several suppliers, group them geographically and allow room for delays. Two useful meetings with enough time for discussion can be better value than an itinerary that depends on every journey and conversation finishing exactly on schedule. Confirm how travel time affects your interpreter's booking.
Close the loop in writing
After each visit, send a concise record of what was discussed and what remains unconfirmed. Attach the correct specification revision. Keep photographs and sample references linked to the site and date, with the supplier's permission where required.
For visits in Fujian, share the confirmed addresses and agenda through TalkEast's enquiry form. Include any fair meetings that precede the trip so the interpreting assignment can follow the project from first discussion to factory questions.
