Before you begin

Confirm the production address, required participants and visit objective before filling the rest of your Xiamen day.

“Visit our factory in Xiamen” is an invitation, not yet an itinerary. You still need the exact site, the people available that day and the purpose of the meeting. Confirm those details before deciding how many appointments you can fit into your trip.

The most useful plan starts at the factory meeting and works outward. Once you know what must happen there, you can arrange the travel, interpreting and follow-up time around it.

Confirm the site you are visiting

Ask for the full address in Chinese and English where available, the entrance or meeting point and a contact who will be reachable on the day. Distinguish the production site from the supplier's office or showroom. If you intend to see a particular process, confirm that the relevant area will be available to discuss.

Have the actual route checked using current travel information and your starting location. A location described loosely as “Xiamen” is not enough for estimating a meeting window. Include the return journey and any fixed onward departure.

Ask about visitor access, clothing or site-specific safety requirements and photography rules. This is easier to manage in advance than after arriving with unsuitable footwear or an unexpected camera crew.

Make the objective concrete

Choose the result you want from the visit: a clearer view of the proposed production process, an agreed sample revision or answers needed to compare a quotation. Use that result to select the supplier staff who should attend.

A sample issue may need a production or technical colleague as well as the sales contact. A pricing discussion may need someone with commercial authority. Ask the supplier to confirm those people rather than assuming they will be available when you arrive.

Send a short agenda and relevant documents. Mark the current revision and identify your priority questions. If the supplier flags a missing detail, resolve it before the visit where possible.

Shape a realistic meeting

For a first substantive visit, allow distinct time for discussion, the site walk and the closing review. Do not spend the entire meeting walking through production and leave the actual questions until a car is waiting outside.

Illustrative structure for a focused supplier visit
SequencePurpose
Buyer briefing before arrivalCheck priorities, documents and decision limits with your team and interpreter
Opening discussionConfirm the agenda and the product reference
Sample and specification reviewResolve the main technical or commercial questions
Factory walkConnect the proposed process to what can be shown on site
Closing meetingRecord decisions, missing evidence and responsible people
Private debrief afterwardSeparate observations from conclusions and prepare the recap

The duration of each part depends on your product and purpose. Ask the supplier to review the plan; a useful agenda is an agreed working sequence, not a rigid performance schedule.

Book support against the plan

If you need English–Mandarin interpreting, provide the address, hours, participants and subject. Confirm preparation requirements, travel arrangements and the treatment of waiting time. Reserve the interpreter for the full assignment you need, including any agreed briefing and closing discussion.

Keep other responsibilities explicit. If you require a technical inspection, supplier assessment or formal report, arrange the appropriate specialist scope. A business visit with interpreting does not automatically include those services.

For transport, establish who books it, where pickup happens and how itinerary changes are handled. Give the supplier and your visiting team the same meeting details so there is no competing version of the plan.

Leave space for what you learn

A good visit can create new questions. The proposed sample change may need review by a colleague at home; the process explanation may reveal a dependency that was absent from the quotation. Leave time after the meeting to record those points accurately.

If you add a second supplier, confirm that both visits retain enough time for a proper recap and that the route is practical. More meetings are useful only when you can still distinguish their answers and act on them.

Afterward, send the supplier a concise action list with document references and dates. Share your Xiamen factory address and draft agenda with TalkEast to arrange interpreting and business visit support around the confirmed plan.
